PROJECT APEX CASE STUDY
In March 2026, GoMiddleman — an email marketing agency managing 14 active DTC, B2B, and wholesale clients — had no shared AI infrastructure, no repeatable content workflows, and no analytics layer beyond manual Klaviyo exports. Every roadmap was built from scratch. Every client brief lived in someone's head. The agency was growing faster than its processes could support.
Over 6 weeks, a single AI operations lead architected and deployed a full system from the ground up: a centralized client intelligence database in Notion, 14 individual AI-powered client projects in Claude, a modular prompt library, audience-specific email roadmap templates (DTC, Wholesale, B2B), five live data connectors (Notion, Klaviyo, Slack, Faire, Fireflies), and a Klaviyo analytics dashboard prototype. By week six, all 14 clients were fully onboarded and May email roadmaps had been generated for the entire roster.
The speed was the signal. Roadmap drafts that previously took hours were generated in minutes. A custom client analytics dashboard was built overnight for a live client meeting. When a tooling trial lapsed mid-project, access was personally funded rather than letting the work stall. The account management team went from zero AI fluency to independently building per-brand prompt libraries — all within the project window.
Project Apex is a proof of concept for what's possible when an agency embeds dedicated AI operations leadership. The infrastructure is built to scale: every new client can be onboarded in under an hour, roadmaps are templated and repeatable, and the team has the tools to move faster without adding headcount. The gap between agencies that have built this and those that haven't is widening — and it's closing faster than most expect.
